At Southern Horizons (UK) Ltd we take your privacy seriously. Southern Horizons (UK) Ltd is a small company based in the South West of England that provides research and consultancy services to a range of client groups.  Our registered office is at: c/o Ensign House, Parkway Court, Longbridge Road, Plymouth PL6 8LR.

We have a clear data protection policy in place which covers how we store and process data that is collected through the research and consultancy projects we undertake on behalf of our clients which can be made available on request. This privacy policy relates to interactions that take place online through our website and email outside of those projects such as inquiries about our research services or inquiries about previous projects.

 

Information we collect from you and how we use it

If you use our website contact form, the contents are entered on a secure page and encrypted before being sent. A copy is sent to company Director, Dr Rebekah Southern, a copy is retained on the website, and a copy is sent to the address that you gave us. Rebekah will follow up the inquiry with you, using the contact details provided and will do the same for any direct approaches by email.

You can be assured that:

  • Your data will be held securely;
  • Your contact form data will be accessible to our website third-party processor who provides website services, but they will adhere to the security and confidentiality measures laid out in this policy;
  • It will not be shared with any other third parties without your written permission, unless there is a legal reason to do so; and,
  • It will not be used for any other purpose than responding to the inquiry.

 

How your information will be stored and transmitted

A record of your inquiry will be stored securely on the website server and destroyed after a year. We also back up our website to an external secure server containing a record of emails sent via the contact form. The backup destination is outside the European Economic Area (EEA) in which data protection laws may be of a lower standard than in the EAA. Regardless of location or whether the person is an employee or contractor, we will impose the same data protection safeguards that we deploy inside the EAA. All backups are likewise destroyed securely after a year. If you email us directly the email will be kept securely for a maximum of one year and then securely destroyed, unless required by law.

No data transmission over the Internet or website can be guaranteed to be secure from intrusion. However, we maintain commercially reasonable physical, electronic and procedural safeguards to protect your personal information in accordance with applicable data protection legislative requirements.

Retaining personal information

We only retain personal information about you for the period necessary to fulfil the purposes outlined in this policy, unless a longer retention period is required or permitted by applicable law.

We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us. When your information is no longer required, we will ensure it is disposed of securely.

 

Access to your information

You have a right of access to the information we hold on you, as well as the right to request that we amend it or delete it, unless prohibited by law. This will be actioned within 30 days of the request. Please note that different arrangements may be in place for access, amendments and deletions to data collected or processed on behalf of clients as part of our research and consultancy services. If you are a participant within one of our projects the process will be made clear to you at the time you engage with the project.

 

Data security

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.
